Cookie Policy
What cookies and similar technologies we use on the ORCA Opti websites, why we use them, and how you can control them.

1. About this policy
This Cookie Policy explains how ORCA Opti Software Ltd, an Australian company based in Queensland, uses cookies and similar technologies on the ORCA Opti websites (including orcaopti.ai and its country sites). It should be read together with our Privacy Policy, which explains how we handle the personal information we collect more broadly.
2. What cookies are
Cookies are small text files placed on your device by the websites you visit. They let a site remember things between page views and between visits, such as whether you are signed in, what language you have chosen, or whether you have already seen a particular banner. We also use related technologies that work in a similar way, including local storage, pixels and tags. Throughout this policy we refer to all of them as "cookies".
3. The categories of cookies we use
Every cookie on our sites falls into one of four categories. The first category is always on because the site cannot function without it. The other three are off by default and only turn on if you choose to allow them.
Strictly necessary
These cookies are required for the site to work. They support sign-in and session handling on the ORCA Opti portal, anti-CSRF protection on forms, load-balancer routing, the cookie consent record itself, and the country-redirect preference that keeps you on the right regional site. We rely on legitimate interest for these and they cannot be turned off through the banner.
Functional
These cookies remember choices you make so the site feels familiar between visits, for example your language and region selection, UI state such as expanded menus, and embedded video preferences. They are not essential but they make the experience smoother. Default off.
Analytics
These cookies help us understand how visitors use the site in aggregate so we can improve it. We see patterns, not individuals, unless you choose to become a customer or contact us. We currently use Google Analytics 4 and may add tools such as HubSpot analytics, PostHog or Microsoft Clarity over time. Any additions are listed in the preferences modal and the cookie inventory below. Default off.
Marketing
These cookies are used by us and our advertising partners to show you relevant content on other sites and to measure the performance of our campaigns. They may involve sharing limited data with third parties such as LinkedIn, Meta and Google under their own privacy terms. Examples include the LinkedIn Insight Tag, the Meta Pixel (if added) and Google Ads conversion tracking. Default off.
4. Third-party cookies
Some cookies are set by us directly. Others are set by trusted third parties that help us run the site, such as Google (for analytics and tag management), HubSpot (for CRM and marketing), Microsoft (for product hosting and identity) and LinkedIn (for advertising measurement). Each of these providers operates under its own privacy and cookie terms, and we only enable their cookies in line with the consent category you choose.
5. Google Consent Mode
We use Google Tag Manager and Google Consent Mode v2 to gate all Google tags on the site. Until you actively choose to allow analytics or marketing cookies, Google tags are loaded in a denied state and do not store identifying cookies on your device. If you allow a category, the matching signal is sent to Google so the relevant tag can collect data going forward.
6. How to manage your cookie choices
You can change your cookie choices at any time. The easiest way is to use the "Cookie Preferences" link in the footer of every page, which re-opens the preferences modal with your current selections. From there you can:
- turn individual categories on or off,
- accept all categories,
- reject all non-essential categories.
Your choices apply across orcaopti.ai and its country sites. If you are a US visitor, you can also use the "Do Not Sell or Share My Personal Information" link in the footer, which opens the same preferences modal with the marketing category in focus.
Most browsers also let you control cookies through their own settings. You can usually block or delete cookies, or ask the browser to warn you before a cookie is set. The exact steps depend on your browser; the help pages for Chrome, Edge, Safari and Firefox each have a section on cookies. Blocking strictly necessary cookies may stop parts of the site from working.
7. How long cookies last
Cookies are either "session" cookies, which disappear when you close your browser, or "persistent" cookies, which stay on your device for a fixed period. Our own consent cookie lasts up to 12 months so that we remember your choice between visits. Third-party cookies have their own lifespans, which are set by the relevant provider and disclosed in their cookie policies.
8. Do Not Track signals
There is no consistent industry standard for how websites should respond to a browser's "Do Not Track" signal. We honour your explicit choices made through our consent banner, which is the most precise way to tell us what you are comfortable with.
9. Updates to this policy
We may update this Cookie Policy when we add or remove cookies, when our providers change, or when the law changes. If the change is material, we will re-prompt you through the consent banner so you can review your choices. The "last updated" date at the top of the page always shows when the current version came into effect.
10. Governing law and jurisdiction
This Cookie Policy is governed by the laws of Queensland, Australia, and the Commonwealth of Australia where applicable. You and ORCA Opti Software Ltd submit to the exclusive jurisdiction of the courts of Queensland in connection with any matter arising from or relating to this policy.
